Terms & Conditions (Bookings)

KEY POINTS
All bookings are made via our online booking systems, both for facilities and activities.

When a booking is made it is regarded as a provisional booking until the deposit is paid, deposits are generally 20% of the booking total and must be paid within 14 days of the booking being received.

The only exceptions to the requirement for a deposit are;

  • Eastbourne Scout and Guide groups
  • Schools and colleges engaging in DofE expeditions

The person booking is responsible for checking all booking details as mistakes cannot always be rectified later due to other bookings, and any required changes are subject to adequate notice and availability, this person is also responsible for ensuring the balance is paid post event.

We reserve the right to cancel bookings which we reasonably believe to have been made improperly and/or in breach of our policies and rules. We also reserve the right to refuse admission should there be any breach of our policies and rules.

Whilst every effort is made to honour your booking as it was at time of confirmation, Bushy Wood reserves the right to make changes where necessary.

BOOKINGS, CHANGES & CANCELLATIONS
Bookings should be made as far in advance as possible, we routinely take bookings one year out for some of our most popular facilities.

Balances are usually required either on the final day or within 14 days of the booking end date, payment details are at the end of this document.

Use of the centre and facilities is subject to your agreement to follow the “site rules” which includes taking all reasonable steps to minimise disturbance to other guests.

It is the responsibility of the person booking to ensure that all members of their group have been informed and understand the site rules.

All groups visiting Bushy Wood agree to follow all relevant statutes, safety announcements and venue regulations whilst on site.

Breach of any of these conditions or any unacceptable behaviour likely to cause damage, nuisance, injury or bring The Scout Association into disrepute will result in your group being asked to leave the site.

All bookings are subject to alteration due to weather and/or operational factors. If such situations arise, we will inform you as soon as is reasonably practicable.

PROPERTY
We do not accept responsibility for the property of those on site, this includes vehicles brought onto site and in the parking areas, it is possible for small branches and debris to fall from trees!

Whilst we will do our best to accommodate equipment, baggage and/or other belongings (please enquire at reception), any items deposited with us or left unattended on the premises are deposited and/or left at the owner’s risk and without any liability on the part of Bushy Wood.

FORCE MAJEURE
Bushy Wood shall not be liable for any delay in performing or failure to perform any obligation or alterations and cancellations due to any cause beyond our reasonable control including strikes, lock outs, labour disputes, acts of God, war, riot, civil commotion, terrorism, malicious damage, threats to safety, compliance with any law or governmental order, rule, regulation, or direction, accident, environmental contamination, pandemic, outbreak of disease, breakdown of plant or machinery, fire, flood, storm, difficulty or increased expense in obtaining staff, materials, goods or raw materials in connection with the performance of this agreement.

INSURANCE & LIABILITY
Bushy Wood has legal liability insurance to cover its potential liabilities to visitors to its premises.

Users of Bushy Wood should consider whether they wish to obtain other insurances, such as cancellation or personal accident insurance.

DATA PROTECTION
We do not share any personal or group information with third party commercial organisations or marketing companies.

We currently do share limited personal contact information with East Sussex County Council (ESCC) for the purposes of activity provision through the services of Buzz Active.

COMPLAINTS
Where you have a complaint about a service or facility provided by Bushy Wood please contact us in the first instance to discuss your concerns, we can also advise on options for escalation in the event of us not being able to resolve the issue.

As a site owned and operated by Eastbourne District Scout Council, Registered Charity no. 305846, all our income is used to fund the operation and development of the site.
